MathWorks is on the lookout for an energetic individual to fill the role of Regional Workplace Operations and Experience Manager for Japan. This position will be stationed in our Akasaka, Tokyo office. As the Regional Workplace Operations and Experience Manager, you will play a crucial role in overseeing the operational aspects and growth of our three locations in Japan. You will be in charge of maintaining solid relationships with landlords and property management to ensure compliance with our lease agreements. This role also offers the opportunity to work closely with MathWorks leaders throughout Japan and to contribute to significant real estate projects. 

This position reports directly to the Manager of Regional Workplace Operations, located in Natick, Massachusetts, USA. The role requires a physical presence in the office five days a week to guarantee a safe, efficient, and collaborative work environment for our team and clients. 

Responsibilities

Your primary responsibilities as the Regional Workplace Operations and Experience Manager will include, but are not limited to: 

  • Leading vendor management efforts, including budgeting, contract management, and procurement. 

  • Overseeing the help ticket system and coordinating work orders promptly. 

  • Ensuring adherence to health and safety regulations and maintaining facilities to meet these standards. 

  • Managing access control systems and overseeing physical security measures. 

  • Overseeing the food service program, including kitchen supplies, catering, and daily offerings. 

  • Managing housekeeping and cleaning activities, aligning with industry standards, local regulations, and MathWorks global practices. 

  • Implementing space management strategies for accommodating new staff and facilitating office relocations, in line with headquarters' guidelines. 

  • Supporting major real estate projects and leading smaller works projects. 

  • Coordinating with property management and service providers on building systems. 

  • Collaborating with MathWorks location leaders across Japan. 

  • Being available in the office five days a week to ensure smooth operations. 

Minimum Qualifications

  • A bachelor's degree and 10 years of professional work experience (or equivalent experience) is required.

Additional Qualifications

  • In-depth knowledge of facility systems, including space management, support ticketing, building maintenance systems, and fire and security measures. 

  • Familiarity with Japanese Health and Safety Regulations. 

  • A strong desire to work in a global corporate environment. 

  • Fluency in both written and spoken Japanese and English.
